   Enter Your Event

Interested in leading an event?  Members can post casual/ short notice events easily in the Activity Buddies area in the Community section - at any time. However, if you want to post your event in the Main Events Calendar, read on for tips/guidelines!

Here for the first time? See box on the right. You'll need to have your profile and level set up so you can post your events directly.

As with anything, the first time takes a bit of effort - but it's a snap after that!

To make it easy for you and the participants, we have outlined some tips and guidelines below. Though they may seem long, they are a quick read and you only have to read / grasp it once!   These are the same guidelines that are used to review and approve all entries for completeness & quality prior to their publication on the site.

Members / Individuals (not with any Organization)

Once you've registered, tell us about the type of events you are planning to lead. After you have participated online for a while, we'll be happy to upgrade your level, enabling you to enter events online directly.

Event Leaders from listed Organizations

Please send us an e-mail at Registration - at - Active-Days.org.  Once you receive a reply with instructions, please   login,   set your password,   set up your profile, and then you are ready to enter events.

Event Leaders from other Organizations/ Groups

Please contact us and tell us about your organization / group and it's events. If there is a good fit with the types of events & orgs listed here, we will include your organization in our listings and send you instructions on posting your events.

 

 

 

 

 

 

 

 

 

Some thoughts ...

We can always enjoy these parks / wilderness areas on our own.

It's good to remember that these group Events are about enjoying an activity and place together with other participants (and are therefore social gatherings as well).

Thus, communication, mutual courtesy and a friendly style are very important - especially for the Event Leader. And that communication starts with a well written Event Description!

If you are a specialist with knowledge of the terrain / wildflowers etc. and do not particularly enjoy the leading / coordinating / interacting part, then consider teaming up with someone who is not only comfortable with those aspects- but actually enjoys them!

Event Details + Entry Guidelines & Tips

 

Active-Days is focused on providing quality information in a convenient, productive setting. And anticipating / addressing the needs of participants - which leads to increased participation.

Here are some ways to achieve that!

1. Enter your event as early as possible
- to allow time for others to see the listing and respond. Recommended: at least 2 weeks in advance.

2. Event Description
- Concise, with all necessary info. and in an attractive format. Tip: Avoid big blocks of text - break it up into small paragraphs. Use the web writing style: essence first - details later. Details in the right boxes e.g. Things to Bring, Meetup/Parking Info. You can embed bold tags.

3. Links
- The Source Link box can be used to enter a link to an external Event Details page. A proper event description with relevant event details must still be entered for this site. You can also enter a link to an Event Registration Page (if applicable), and a Map (for a specific meeting point etc.).

4. Directions
- to the park itself are in the Destination record that the participants can view easily. So only add any extra instructions if required for the particular meeting spot / entrance etc. Same for the Map Link.

5. Key Event Details (Snapshot)
- Please make an effort to gather and enter all applicable info - such as end time, miles, elevation, difficulty rating. Really helpful for prospective participants - and results in a good match between the event and participants. Tip: You can find out miles and elevation very easily by looking up a map - or a previous event on the same trail (just Search Past Events!)

6. Carpool Info
- Suggest some meeting points. Simply mentioning a few places (e.g. one in the East Bay / South Bay etc.) encourages carpooling - which the participants can arrange themselves using the RSVPs and Direct Messaging features. It's really the least we can do.

7. RSVP / Registration
- Keep the event enjoyable and manageable by putting a limit on the number of attendees. This is easy to do by stating that the first 20 RSVPs here (or whatever number) will get confirmed. Note that some parks/park districts require formal notification if the number of attendees exceed a certain number.

 

 

   

Event Entry + Follow-up Steps

   

IMPORTANT SYSTEM TIPS:  1. You must be logged-in at all times to submit an event - similar to composing a Yahoo e-mail - or you may lose your entries!

As with most websites, the system automatically logs out inactive users after a period of time (~20 minutes or more). Thus, if you take a really long time to enter the event details and then click on Submit, you may get logged out! Also, clearing your cookies after logging in will get you logged out as well.


2. After clicking Submit, read the messages on the next screen!

Check if there were any validation errors or if the event was successfully recorded. In case of any errors (e.g. missing dates), you can easily correct them on that page (your entries are re-displayed below) and click on Submit again.

0. E-mail us to upgrade your level to get access to the next steps.  First time only.

1. Check whether a Destination Record already exists in our database. Most likely, you will see it on the list and you can proceed to step 2.   If not, create one & proceed.

2. Enter the Event Details, review for errors/typos, check all relevant information/fields have been entered, and submit. Tips.

Submissions will be quickly reviewed and published shortly.

 

After the listing is online ...

1. Please check online to verify that the listing looks OK and contains all necessary information. Let us know if any updates are required.

2. You can help generate buzz & enthusiasm for the event by posting comments, photos for the event and posting in the Forums. A bit of initiative can work wonders!

3. Monitor RSVPs and check your messages and send any responses. Be sure to enter comments or post messages in the Community Discussion Area (Events section) to provide any updates / clarifications.

Enjoy your event!   After the Event ...

After the event, you can set the stage for your subsequent events by entering an Event Report! Even a brief one - with a few photos - can help build momentum for your next event and get people interested in these events in general.
